PROJECT COORDINATOR
POSITION SUMMARY
The Project Coordinator plays a vital role in coordinating the administrative support of the project management team. This position is essential for maintaining seamless communication and effective collaboration throughout each project’s lifecycle.
DUTIES & RESPONSIBILITIES
- Performs data entry, electronic document management and other administrative support during the project lifecycle.
- Schedules, attends, compiles, and/or distributes minutes from meetings with owners, architects, and/or contractors.
- Maintains logs for RFIs, submittals, and change orders. Assist in preparing invoicing and subcontracts.
- Prepares reports for project financial reviews.
- Issues and ensures receipt of subcontracts, vendor purchase orders and change orders.
- Assists field personnel with other construction related documentation as requested.
- Manages vendor communication. Tracks and coordinates vendor deliveries and submittals, ensuring timely availability.
- Participates in special project work.
- Performs other duties as assigned.
NECESSARY EXPERIENCE & QUALIFICATIONS
Required
- Associate degree in a related field.
- Three years of administrative work experience.
- Proficiency in MS Office and PDF editing software.
- Excellent written and verbal communication skills.
- Strong organizational, prioritization and multitasking abilities, with exceptional attention to detail
- Exhibits adaptability and strong problem-solving capabilities, essential for navigating changing circumstances and challenges.
- Works collaboratively with the Beeler field and office teams, clients, subcontractors, and vendors, fostering strong relationships and effective communication to support project success.
- Committed to fostering positive relationships by demonstrating accountable and constructive behaviors.

- Related administrative or construction project coordinator experience.
Any combination of necessary experience and qualifications which provides desired knowledge, skills, and abilities.
WORK ENVIRONMENT/PHYSICAL DEMANDS
- Primarily situated in an office environment, requiring prolonged periods of sitting, significant computer use, and effective navigation of office software and communication tools.
