PROJECT COORDINATOR

POSITION SUMMARY

The Project Coordinator plays a vital role in coordinating the administrative support of the project management team.  This position is essential for maintaining seamless communication and effective collaboration throughout each project’s lifecycle.

DUTIES & RESPONSIBILITIES

  • Performs data entry, electronic document management and other administrative support during the project lifecycle.
  • Schedules, attends, compiles, and/or distributes minutes from meetings with owners, architects, and/or contractors.
  • Maintains logs for RFIs, submittals, and change orders. Assist in preparing invoicing and subcontracts.
  • Prepares reports for project financial reviews.
  • Issues and ensures receipt of subcontracts, vendor purchase orders and change orders.
  • Assists field personnel with other construction related documentation as requested.
  • Manages vendor communication. Tracks and coordinates vendor deliveries and submittals, ensuring timely availability.
  • Participates in special project work.
  • Performs other duties as assigned.

NECESSARY EXPERIENCE & QUALIFICATIONS

Required

  • Associate degree in a related field.
  • Three years of administrative work experience.
  • Proficiency in MS Office and PDF editing software.
  • Excellent written and verbal communication skills.
  • Strong organizational, prioritization and multitasking abilities, with exceptional attention to detail
  • Exhibits adaptability and strong problem-solving capabilities, essential for navigating changing circumstances and challenges.
  • Works collaboratively with the Beeler field and office teams, clients, subcontractors, and vendors, fostering strong relationships and effective communication to support project success.
  • Committed to fostering positive relationships by demonstrating accountable and constructive behaviors.

Desired

  • Related administrative or construction project coordinator experience.

Any combination of necessary experience and qualifications which provides desired knowledge, skills, and abilities.

WORK ENVIRONMENT/PHYSICAL DEMANDS

  • Primarily situated in an office environment, requiring prolonged periods of sitting, significant computer use, and effective navigation of office software and communication tools.
